What Data We Collect
We only collect the information needed to make SwishCal work smoothly for you. Here's what we gather:
Information You Provide
- Google Account Details: When you sign in with Google, we get your name, email address, profile picture, and Google ID.
- Event Data from Your Sheets: Things like event titles, dates, times, descriptions, locations, and attendee emails.
- Your Preferences: Choices like timezone, date formats, and where you want to send your calendar events.
Information We Collect Automatically
- Usage Details: How often you create calendars, import events, or use specific features.
- Technical Info: Your IP address, browser type, and rough location (to help with timezones).
- Error Reports: Details about any glitches to help us fix problems.
We access your Google Sheets temporarily during imports but don't store the full spreadsheet contents long-term.
How We Use Your Data
Your data helps us deliver the service you expect and improve it over time. Specifically:
- Running the Service: We use it to turn your spreadsheet info into calendar events, create new calendars, send invites, and check for errors like invalid emails or dates.
- Managing Your Account: To track your usage limits based on your tier (Silver, Gold, or Platinum), send confirmation emails, and offer support.
- Occasional Marketing: We may send you up to 12 emails per year about SwishCal updates, new features, or tips to get the most out of the service. You can opt out of these emails at any time (see "Your Rights and Choices" below).
- Improving SwishCal: By looking at overall patterns (like popular features), we spot issues and plan updates.
- Business Needs: To monitor tiers, create reports for our team, and ensure everything complies with our rules.
We never use your data for ads or anything unrelated to SwishCal.
Data Sharing
We keep your data private and only share it when absolutely necessary:
- With Google: To access Sheets for reading data and Calendar for creating new calendars and new events.
- Service Providers: Neon Database stores your profile and usage safely; Mailgun helps with email backups if needed.
- Legal Reasons: If required by law, like a court order, or to protect our service and users.
We don't sell your data to anyone, ever, and we don't share it for marketing.
Your Rights and Choices
You control your data. Here's what you can do:
- Access It: Ask for a copy of what we have.
- Fix It: Update or correct any mistakes.
- Delete It: Remove your account and data.
- Limit It: Restrict certain uses.
- Object: Opt out of non-essential processing.
- Take It With You: Get your data in an easy-to-use format.
- Opt Out of Marketing: You can unsubscribe from marketing emails by clicking the "unsubscribe" link in any email or by contacting us at privacy@swishcal.com. This won't affect essential service emails, like import confirmations.
Just email us at privacy@swishcal.com to make a request—we'll respond within 30 days.
Data Security
Protecting your information is a top priority. We use:
- Encryption: Data is secured in transit (via HTTPS) and when stored.
- Secure Login: Google's OAuth 2.0 keeps access safe.
- Limited Access: Only necessary parts of our system touch your data, with strict controls.
- Regular Checks: We update our security and review practices often.
We follow the principle of collecting only what's needed and delete temporary import data quickly.
Third-Party Services
SwishCal connects to a few trusted services to function:
- Google Tools: Calendar for events, Sheets for data, OAuth for sign-in, and Gmail for notifications. Google's privacy rules apply to these.
- Others: Neon for database storage and Replit for hosting.
Check their privacy policies for more details—we choose partners who prioritize security.
International Users
Our service runs on cloud servers that might store or process data in places like the United States. We make sure transfers meet high privacy standards. If you're in the EU, we support your GDPR rights fully.
Retention
We keep data only as long as it's useful:
- Account Info: While your account is active.
- Usage Stats: Up to 2 years (anonymized for trends).
- Import Logs: 30 days in detail, then summarized.
- Error Logs: 90 days for fixes.
If you delete your account, we remove your personal data within 30 days. Events already in your Google Calendar stay there—we don't touch them. You can request public calendar removal separately.
Changes to This Policy
We might update this policy as SwishCal evolves. When that happens:
- We'll post the new version on our site.
- Update the date at the top.
- For big changes, we'll email you or notify in-app.
Continuing to use SwishCal means you agree to the updates.
